attach your news letters types to this mailing
system, so when your clients go in and register,
they will have the choice to choose what kind of

The How??
Crown IT mailing system
is a software you download on your server on which
you host all actions and databases.
On the server, you will
be able to establish, archive, update, and
accumulate your clients' data base, gather their
contact information, and send them the news letters
and promotional material via their email addresses.
On your website, you will set up a registration page
that allows any client to subscribe to your news
letters. Your client will be providing you through
the registration form the information you require
along with the email address to which the mailing
system will be targeting when you send the news
letters.
Setting up the related section on your web site…
Any website visitor can
register to your mailing system and request to
receive news letters and emails from you. To do so,
you shall put a registration page on your web site,
in which clients provide you with the information
necessary for the mailing system: names, emails,
phone numbers, and other data.
Those information will be automatically archived in
the mailing system data base and can be accessible
and modifiable by you any time and any way you wish.

Some fields of the above registration form are
optional, others are mandatory. Dynamic companies
can also add options (checkboxes) for the news
letters and reports types from which their clients
may select.
Upon successful submission of the registration form,
your client will receive an auto-sent email to the
address he/ she specified in the registration form.
The sent mail have an activation link for the
purpose of confirming the email address (to make
sure that the registered email is correct), and to
confirm to the client that this service will be
provided as he registered for it.

An additional option can be provided to your
registered clients on your web site: Login Section.
Registered clients can at any time go to the Login
Section in order to access their profiles. A
registered client shall use the registered email
address, and the related password to login, then he/
she will access the information that were specified
upon subscription, and he/ she will be able to
modify or update their information.
Administration of the mailing system…
As an administrator of your mailing system, you will
have an admin login user name and password, from
which you can access the mailing system sub-link and
can prepare and customize its settings and
distribute its tasks to start sending mails to your
clients.
Upon login to the mailing system, you will have
several options, buttons, and features to manage it.

(1) Getting Started (The Settings)
a. Preparing the emails general design and
determining sender emails:
As a company with targeted clients and marketing
campaigns, you need to have a design for the sent
company emails with a customized header and footer,
you get to dynamically upload your header and footer
on the system, and send emails with the design of
your website; and also determine the email addresses
which will appear in the "From" section in the sent
emails.

Once you determine the above settings, all sent
emails will have the header and footer design you
uploaded (including the activation mail sent to
registered clients from your web site), and you can
select the email address that any email will be sent
from according to the sender emails list that you
created.
b. Setting up system users' securities and
permissions:
System administrators or users will be able to login
to the system, search the database, find emails in
all tables, and apply many other actions from
categorizing your clients, to editing and adding the
data.
The head administrator of the mailing system can
create as many users accounts as required,
distribute the responsibilities, tasks, allowed
features and permissions between them, and edit
those permissions any time required and according to
the users posts and description of responsibilities
in the company.
For example, data entry employees can get access to
adding new clients, marketing department can get
access to sending emails, and so on. See the below

c. Establishing your clients' data base:
If you have a client base with their contact
information and email addresses, you can import them
from an excel sheet to be automatically entered into
the mailing system.
You can also enter and add any client record
manually inside the system, and your registered
clients will also be archived in the mailing system
database upon their registration from your web site.
(2) Managing the Mailing System
a. Adding, modifying, and finding clients'
information:
At any time, the allowed system user can add,
modify, or update any client data in the mailing
system. You can search for any client you have on
the database through a search option with different
filters, and once you find the required client, you
can edit the related data.

b. Classifying your clients into groups:
Your clients can be categorized and added to groups
based on countries, gender, age, or any other
customized options. When creating a group, you can
customize its options and determine its
specifications, then start linking and adding your
clients and their emails to it. This allows you to
send emails to a specific group instead of all
clients on the database.

c. Sending emails to your clients:
To start sending emails to your clients, you need
first to determine the target clients: either all
those entered in the mailing system, or a specific
group of clients, a targeted country, and/or
language.

Upon determining your target clients, you can
compose the mail text you wish to send, and with a
simple click, the system will send it to all target
clients within seconds.

How can a registered client access his profile
through the Login Section if he/ she lost the
password?
As part of the login section on your web site, an
option can be provided for lost passwords, in which
the client can get his/ her password to be able to
login to his profile successfully.
What are the properties of the uploaded header and
footer files?
It is up to you to choose the images files format
for your mails header and/or footer. There are no
certain conditions to successfully upload them, but
it is preferable to have them in JPEG or JIF format.
The preferred width of the images is 700 Pixels.
Do I have to upload the header and footer files?
It is required to upload the header and footer
images as part of the system settings, but you will
also be given the choice to send emails to your
clients without the header and footer that are
uploaded. This option is provided upon composing an
email.
